Welcome to Dr Helen Whyte Aesthetics. These Terms and Conditions govern your use of our website (www.helenwhyte.co.uk) and the services, treatments, and products provided by our clinic across our two locations.

By booking an appointment or using our website, you agree to be bound by these terms. Please read them carefully.

1. About Us

Dr Helen Whyte Aesthetics operates from two locations:

‍ ‍*The Aesthetic Treatment Rooms**, Unit 33 North Tyne Industrial Estate, Whitley Road, Newcastle upon Tyne, NE12 9SZ. Telephone: 0191 466 1427.

Treatment for conditions such as Temporomandibular Disorder (TMD), Migraines, and Hyperhidrosis are only available at Linden Cottage Dental Practice, as this is a CQC registered premises suitable for these treatments.

2. Age Restrictions

We do not provide any aesthetic treatments to individuals under the age of 18. You must be at least 18 years old to book an appointment. We reserve the right to request valid photographic identification (such as a passport or driving licence) before proceeding with any consultation or treatment. If you are unable to provide valid identification, your appointment will be cancelled, and your booking fee will be forfeit.

3. Booking and Deposits

To secure an appointment, a non-refundable booking fee is required. This fee is deducted from the total cost of your treatment on the day. Your appointment is not confirmed until this fee has been paid.

All online bookings are processed securely through our third-party booking systems, Treatwell or Aesthetic Nurse Software, depending on the location and service selected.

4. Cancellations and Rescheduling

We understand that circumstances may change. If you need to cancel or reschedule your appointment, we require a minimum of 24 hours' notice.

If you cancel or reschedule with more than 24 hours' notice, your booking fee can be transferred to a new appointment. If you cancel with less than 24 hours' notice, or if you fail to attend your appointment, your booking fee will be retained to cover the cost of the lost clinical time.

5. Medical Suitability and Consultations

Your safety is our priority. All new patients, and existing patients requesting a new type of treatment, must undergo a full consultation prior to treatment, followed by a cooling-off period to enable you to fully consider your options.

Treatments are always subject to medical suitability. We reserve the right to refuse treatment if we believe it is not in your best medical interest, if you have a contraindicating medical condition, or if your expectations are not realistic. If a treatment is declined by Dr Helen Whyte on medical grounds, your booking fee will be refunded.

You must provide complete and accurate medical history information. Withholding relevant medical information may compromise your safety and invalidate your insurance.

6. Payment Terms

Full payment for treatments and products is due on the day of your appointment. All payments are collected by Linden Cottage Dental Practice. We do not accept cash. In-clinic card payments are processed using terminals supplied by Take Payments. Online bookings and payments are managed through Aesthetic Nurse Software or Treatwell, with online payments processed securely by Stripe. We also offer flexible payment options through Klarna and Clearpay, subject to their respective terms and conditions and approval processes. Direct debit payments may be arranged via GoCardless for specific treatment plans.

7. Refunds

We do not offer refunds for aesthetic treatments once they have been carried out. The outcome of non-surgical aesthetic treatments can vary significantly between individuals due to factors such as anatomy, lifestyle, and metabolism. While we use premium products and exercise the highest standard of clinical skill, we cannot guarantee a specific result.

If you purchase retail skincare products from us, you may return them within 14 days for a refund or exchange, provided they are unopened, unused, and in their original packaging, in accordance with your statutory consumer rights.

8. Review Appointments

Certain treatments, such as line-relaxing injections, may require a review appointment. Review appointments are generally offered between two and three weeks after the initial treatment. It is your responsibility to book this review within the specified timeframe. If additional product is required to achieve the desired result, an additional charge may apply, which will be discussed with you during the review.

9. Website Use and Intellectual Property

The content of this website, including text, images, logos, and graphics, is the property of Dr Helen Whyte Aesthetics and is protected by intellectual property laws. You may not reproduce, distribute, or use our content for commercial purposes without our explicit written permission.

10. Limitation of Liability

Our liability for any claim arising out of the provision of our services is limited to the cost of the treatment provided. We will not be liable for any indirect or consequential loss. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for any other matter for which it would be illegal to exclude liability.

11. Data Protection

12. Changes to These Terms

We reserve the right to update these Terms and Conditions at any time. Any changes will be posted on this page. Your continued use of our services following any changes indicates your acceptance of the new terms.

13. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
